World of Swimming – Terms & Conditions

These Terms and Conditions set out the basis on which World of Swimming provides swimming lessons. They are designed to be clear, fair, and consistent across all venues.

By making a booking or payment, you confirm that you have read, understood, and accepted these Terms and Conditions.

1. About World of Swimming

World of Swimming provides weekly swimming lessons only. We do not currently offer holiday intensives or ad-hoc bookings.

Lessons are delivered across multiple venues and locations. Each venue has its own pool-specific rules, which must be followed in addition to these Terms.

We provide lessons for:

  • Baby & Pre‑School swimmers
  • Children
  • Adults

All bookings, payments, cancellations, and account management are handled through Soakly.

2. Communication

2.1 Contacting Us

All enquiries must be directed to the World of Swimming office or the relevant Swim Manager. Please do not rely on messages passed to teachers, pool helpers, or venue staff.

2.2 Contacting You

We will use the email address and phone number held on your Soakly account. It is your responsibility to ensure these details are correct and kept up to date.

3. Booking Format

3.1 Weekly Lessons

All lessons run on a continuous weekly programme during term time only.

Lessons do not run during:

  • Easter holidays
  • Summer holidays
  • Christmas holidays
  • Bank Holidays

You will not be charged for lessons that do not take place during these periods.

By booking a place, you are reserving a weekly class slot, not individual lessons.

Lessons continue month to month unless cancelled in line with our cancellation policy.

3.2 Class Types

  • Baby & Pre-School (adult in the water)
  • Children’s lessons
  • Adult lessons

Class structure, ratios, and teaching approach may vary by venue.

4. Payments

4.1 Payment Method

All weekly lessons are paid by monthly direct debit via Soakly.

Direct debits:

  • Are variable and charged monthly
  • Reflect the number of lessons running that month
  • Are taken automatically on the scheduled date

Your class place is not secured unless payment is active and up to date.

4.2 Failed or Missed Payments

If a direct debit fails:

  • The system will automatically retry
  • Outstanding balances must be cleared promptly

World of Swimming reserves the right to suspend lessons if an account falls into arrears.

We are not responsible for missed lessons due to failed payments or incomplete account setup.

5. Cancellation Policy (Weekly Lessons)

This policy applies to all swimmers and all venues.

5.1 Customer Cancellations

To cancel weekly lessons:

  • Written notice must be received before 5:00pm on the 20th of the current month
  • Cancellation will take effect at the end of that month
  • Lessons will continue until all paid sessions are completed

No refunds or credits are given for unused lessons within a paid month.

5.2 Late Cancellations

If notice is received after 5:00pm on the 20th:

  • Cancellation will be processed for the end of the following month
  • The next month’s direct debit will still be taken
  • No refunds or partial refunds will be issued

Immediate cancellation is not available for weekly lessons.

6. Lesson Cancellations by World of Swimming

Lessons may occasionally be cancelled due to pool closures, staff illness, or circumstances outside our control.

Where a lesson is cancelled by us:

  • A credit or replacement lesson may be offered
  • Refunds are only issued if no suitable alternative is available

If a lesson has started and more than 10 minutes have been completed, it is classed as delivered.

7. Attendance & Missed Lessons

7.1 Freezing or Pausing Lessons

World of Swimming does not offer freezing or pausing of weekly lessons.

However, where a swimmer is unable to attend lessons due to medical reasons, including operations or significant medical issues, missed lessons may be refunded.

All medical refund requests:

  • Must be made in writing
  • Must include appropriate medical proof where requested
  • Must be submitted to either the World of Swimming office or the relevant Swim Manager as soon as possible

Medical refunds are considered on a case-by-case basis, are not guaranteed, must be agreed in advance where possible, and cannot be backdated.

7.2 Missed Lessons

If you are unable to attend your regular lesson for any reason:

  • No refunds or credits are given
  • Your weekly class place remains reserved

World of Swimming does not offer catch-up lessons under any circumstances.

8. Pool Rules & Venue Rules

All swimmers, parents, and spectators must follow:

  • World of Swimming rules
  • The specific rules of each pool venue

Venue rules may differ between locations. It is your responsibility to familiarise yourself with them.

Key Rules (All Venues)

  • Swimming hats must be worn (unless exempted for sensory reasons)
  • No food or drink on poolside (water only)
  • No running or disruptive behaviour
  • No photography or filming
  • Children under 16 must have a responsible adult on site at all times

Failure to follow pool rules may result in removal from lessons without refund.

9. Swimwear & Equipment

Baby & Pre‑School

  • Double nappy system is mandatory for non‑toilet trained swimmers
  • Instructors may refuse entry if requirements are not met

Children & Adults

  • Appropriate swimwear only
  • Hats must be worn
  • Goggles recommended where appropriate

10. Medical Conditions & Additional Needs

All medical conditions or additional needs must be disclosed via Soakly.

This includes, but is not limited to:

  • Asthma, epilepsy, allergies
  • ASD, ADHD, learning or sensory needs

Failure to disclose relevant information may place swimmers and staff at risk and removes liability from World of Swimming.

11. Photography & Filming

  • Photography and filming are strictly prohibited in lessons and changing areas
  • This includes video calls and live streaming

Any breach will be treated seriously and may result in removal from the programme.

12. Responsibility & Supervision

Parents and guardians are responsible for their children at all times outside of the lesson itself.

World of Swimming is not responsible for:

  • Accidents outside lesson time
  • Incidents caused by failure to supervise children
  • Loss or damage to personal property

13. Data Protection

We use Soakly to manage bookings and customer data.

All data is handled in line with GDPR regulations and is not shared outside of what is necessary to deliver lessons safely.

14. Complaints

Any complaints should be submitted in writing to:

Complaints will be handled fairly, professionally, and confidentially.

15. Changes to These Terms

World of Swimming reserves the right to update these Terms and Conditions.

The latest version will always apply and will be published on our website. Continued attendance and payment confirms acceptance of any updated terms.

Non‑acceptance of these Terms may result in lessons being withdrawn at the discretion of World of Swimming.
